Privacy Policy

1. Overview

NOVAM ("we", "us", or "our") operates the platform available at novam.us and Novam Studio, our content creation and publishing app available at studio.novam.us (together, the "Service"). This Privacy Policy explains how we collect, use, share, and protect your information when you use the Service, including our AI intake tool, AI agent builder, Novam Studio, and related services.

2. Information We Collect

  • Contact information: Name, email address, phone number, and business name when you submit an inquiry or register for an account.
  • Business information: Industry, challenges, budget, and other details you provide when describing your business needs.
  • Usage data: Information about how you interact with the platform, including pages visited and actions taken.
  • Agent configuration data: Settings, knowledge base content, and preferences you configure for any AI agents you build.
  • Content you create or upload: Videos, images, audio, captions, drafts, and brand settings (such as brand voice, hashtags, and watermarks) you add to Novam Studio.
  • Connected social account data: When you connect a social account to Novam Studio, the information described in Section 5.

3. How We Use Your Information

  • To analyze your business situation and generate a personalized AI solution recommendation.
  • To operate and provide the AI agent builder platform and Novam Studio.
  • To create, edit, schedule, and publish content on the accounts you connect, at your direction.
  • To contact you regarding your inquiry or account.
  • To send confirmation emails and booking links when requested.
  • To improve and maintain the platform.

We do not sell your personal information to third parties, and we do not use your information for advertising.

4. AI Processing

When you describe your business situation, your text is processed by an AI model to classify your needs and generate a recommended solution. In Novam Studio, AI models process the content you choose (for example, transcribing a video to write a caption, finding highlights to clip, or drafting a reply) to perform the task you request. This processing is performed by third-party AI providers acting on our behalf, solely to provide the Service. Intake inputs may be used to improve our classification models in anonymized form. We do not use data obtained from your connected social accounts, including Google or YouTube data, to train AI models.

5. Novam Studio: Connected Social Accounts

Novam Studio lets you connect accounts on YouTube, Instagram, Facebook, TikTok, X (Twitter), and LinkedIn through each platform's official sign-in (OAuth). We never see or store your social media passwords. Depending on the platforms and features you use, we access:

  • Access tokens issued by the platform, so we can act on your behalf only in the ways you authorized.
  • Basic account information such as your account or channel name, ID, and profile picture, so you can see which account is connected.
  • Publishing access to upload and publish the posts and videos you create or schedule in Novam Studio.
  • Post performance data (such as views, likes, and comment counts) for posts published through Novam Studio, to show you analytics.
  • Comments and messages, only if you turn on engagement features such as auto-replies, so the Service can respond according to the rules you set. If you enable AI replies, the text of incoming comments, mentions, or messages is sent to our AI provider (Anthropic) to draft a reply, and a log of the message and reply is kept so you can review it.

We use this data only to provide the features you use. We do not sell it, use it for advertising, or share it with anyone except the service providers described in Section 7 that help us run the Service.

6. Google and YouTube Data

When you connect a YouTube channel, Novam Studio uses YouTube API Services. By connecting YouTube, you agree to be bound by the YouTube Terms of Service, and Google's handling of your data is described in the Google Privacy Policy.

  • What we access: your channel's name and ID (to show which channel is connected), permission to upload videos you schedule or publish from Novam Studio, and the view, like, and comment counts of the videos you published through Novam Studio.
  • How we use it: only to upload the videos you choose, at the time you choose, to display your connected channel, and to show you how those videos are performing. If you request an AI performance analysis, your post metrics (including YouTube statistics) and captions are sent to our AI provider, Anthropic, solely to generate that analysis for you. We do not download, modify, or delete your other YouTube content.
  • Sharing: we do not sell or transfer Google user data, except as needed to provide the Service, to comply with law, or as part of a merger, acquisition, or sale of assets, only after obtaining your explicit prior consent.
  • Revoking access: disconnect YouTube in Novam Studio under Accounts, or remove access any time at myaccount.google.com/permissions.

Novam Studio's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

7. Service Providers

We use trusted providers to run the Service, including cloud hosting and database providers, file storage, payment processing (Stripe), email delivery, and AI model providers (Anthropic, OpenAI, ElevenLabs, and Kling AI). They process data only on our instructions and only to provide the Service. We may also disclose information if required by law.

8. Data Storage and Security

Your data is stored on secured, access-controlled servers. We use industry-standard security practices including encrypted connections (HTTPS) and secure credential storage. Access tokens for connected accounts are used only by our servers and are never shown to other users.

9. Data Retention

We retain your data for as long as necessary to provide the service or fulfill the purpose for which it was collected. When you disconnect a social account, we delete its stored access token immediately. When you delete your account, we delete your personal data and content within 30 days, except where we must keep it to meet legal obligations.

10. Your Rights and Data Deletion

You have the right to access, correct, or delete your personal data. To delete your data:

  • Disconnect a single account: in Novam Studio, open Accounts and click Disconnect. The stored token is deleted right away.
  • Remove access from the platform side: Google at myaccount.google.com/permissions; Facebook and Instagram under Settings & privacy → Apps and websites (Facebook) or Business integrations (Instagram).
  • Delete everything: email hello@novam.us from your account email with the subject "Delete my data." We will confirm and delete your account, content, and connected-account data within 30 days.

11. Cookies

We store a login token in your browser's local storage to keep you signed in. We do not use advertising cookies or collect device identifiers, and we do not allow third parties to place cookies through Novam Studio.

12. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect personal information from children under 13.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes by posting the new policy on this page with an updated date.
